Material Submission
Format: WAV (.wav). Sample Rate/Bit Depth: Should match session settings (minimum 24-bit recommended, no up/downsampling). Files should have sufficient headroom and avoid clipping/distortion. All processing should be removed from the master bus before export (unless it's a crucial creative element). Dry stems are preferred (no reverb, delay) unless effects are integral to the sound. All stems must start from 0:00 for proper alignment.
Use: G_TrackName.wav (Group Initial_Track Name, no spaces). Group Initials: V (Vocals), I (Instruments), D (Drums), B (Bass), K (Keys/Synths), SFX (Sound Effects), FX (Return FX), P (Percussion), O (Other). Examples: V_LeadVocal.wav, I_GtrSolo.wav, D_KickIn.wav.
Clients are responsible for reviewing all materials for accuracy, completeness, and quality before submission. If materials need correction after work has begun, the project may be paused until proper files are provided. Minor file fixes may be accommodated when possible, but this isn't guaranteed for all situations.
Payment Terms
Two payment structures are typically offered: Split Payment (deposit before work begins, balance due upon completion) or Full Upfront Payment (enables earlier access to work-in-progress files). The specific structure, percentages, and timing will be outlined in the project agreement based on project type and scope.
Refund eligibility depends on project stage: Before work starts, full refunds are available. After work begins but before first version delivery, partial refunds may apply. After first version delivery, work has been completed and refunds are not available. Specific refund terms will be outlined in the project agreement.
Revisions
The number of included revision rounds varies by project and package selected. Revisions cover adjustments based on original materials and goals - such as mix balance, levels, and minor edits. Major structural changes or new material additions are quoted separately. The specific revision count will be agreed upon before work begins.
Revisions beyond the included rounds incur additional fees, quoted based on complexity. Payment for additional revisions is due before work begins on those rounds.
Feedback on each version should be provided within ten (10) business days to keep projects moving forward. If no feedback is received within this timeframe, the version will be considered approved so work can progress.
Intellectual Property
Upon full payment, ownership of final deliverables transfers to the client. Session files, project files, and production techniques used to create the deliverables remain with the service provider.
Short snippets of final deliverables (maximum 60 seconds) may be used for promotional purposes. Projects may be included in portfolio and discography listings. Project titles, client/artist names, and service provider roles may be listed in promotional materials, websites, and professional platforms.
Credits should be included in all record label documentation, physical/digital releases, social media posts, articles, publications, and other public-facing materials. Credits should include the service provider's name and role (e.g., "Mixed by Giovanni Cordova", "Mastering: Giovanni Cordova"), following industry standards for the specific medium.
Project archiving varies by package level. Standard packages include secure storage during active project work. Extended archiving options (2 years, multi-year, or permanent) are available and will be specified in the project agreement based on the selected service level.
Policies
Turnaround time is estimated after reviewing project complexity and current workload. Timeline estimates are provided before work begins. While every effort is made to meet agreed timelines, delays beyond reasonable control (such as client material delays or technical issues) may affect delivery dates. Rush service is available when schedule permits, subject to additional fees.
Communication is primarily conducted via email, with responses typically provided within 24 business hours (Monday-Friday, excluding public holidays). Telephone calls can be scheduled in advance during business hours. A single primary contact person should be designated for each project to ensure consistent communication and decision-making.
Unreleased materials, project details, and confidential information are kept private and not shared with third parties without written consent, unless required by law. Confidentiality obligations remain in effect indefinitely, continuing even after project completion.
Total liability for any claim shall not exceed the total amount paid for the project. Liability does not extend to indirect, incidental, special, consequential, or punitive damages arising from services provided.
